This notice describes how Knox Wire Harnesses, LLC ("KWH") handles information through its internal KWH Manufacturing ERP application (the "System"). The System is intended for company-authorized users, not public consumer signups.

1. Who is responsible

2. Information the System may process

Account information: names, work contact details, assigned roles, login/session information, and activity records for authorized users.
Business records: customer and supplier names, business contacts, orders, parts, material transactions, receipts, shipments, prices, invoices, and related documents.
Financial records: company accounting reports, transaction data, invoice balances, payment status, and other QuickBooks information approved for integration.
Technical records: access timestamps, diagnostic logs, and security-related activity needed to operate and protect the System.

Some records may contain personal information about employees, customers, or vendor contacts. Sensitive information should be included only where authorized and necessary for the relevant business purpose.

3. Sources

Data may be entered by authorized users, imported from company spreadsheets or internal records, or obtained from approved integrations such as QuickBooks Online and Google Workspace. QuickBooks access occurs only after the company's authorized administrator approves the connection.

4. Why information is used

KWH uses this information for manufacturing and inventory control; customer and supplier order management; accounting and performance reporting; shipping and invoicing workflows; business continuity; access administration; and detecting, investigating, or addressing operational and security issues. Data is not intended to be used for targeted advertising.

5. Access and sharing

Access is intended to be limited to KWH personnel or approved contractors according to job responsibility. Business data may be processed by companies providing necessary services, including infrastructure hosting, accounting integration, and productivity platforms, under their applicable contractual arrangements. Information may also be disclosed when required by law, to protect legal rights, or as otherwise authorized by KWH.

KWH does not intend to sell QuickBooks-connected user data or personal information to advertising brokers. Any new third-party data use must be reviewed before deployment.

6. Storage, location and safeguards

Information is stored in the System and supporting services selected by KWH; some hosting and service processing may occur in the United States. The Company is responsible for implementing appropriate administrative and technical safeguards, controlling authorized access, and evaluating providers. No electronic service can guarantee absolute security. Features still in prototype or testing must not be treated as approved for confidential production use without a security review.

7. Retention and disconnection

KWH retains business information as needed for legitimate operations, reconciliation, contractual duties, applicable recordkeeping laws, and approved retention procedures. When an integration is disconnected, the System should stop new access to that provider. Previously imported records must be handled under the provider's applicable requirements, relevant laws, and KWH's retention and deletion procedures; disconnection does not necessarily erase records the Company must legally maintain.

8. Session information

The System may use necessary session cookies or similar mechanisms to authenticate users and keep sessions active. These mechanisms are used to operate the internal application rather than to deliver third-party advertising.

9. Questions, access and corrections

Authorized users, customers, or business contacts may contact KWH to request review or correction of relevant information or to raise privacy concerns. Requests will be evaluated under applicable law, identity-verification needs, confidentiality restrictions, and company recordkeeping obligations.

10. Updates to this notice

KWH may revise this Privacy Policy when the System, its integrations, company processes, or applicable legal requirements change. The last-updated date above will be changed when a revision is published.
